GDPR Enhancements

Users can record a data purpose against a contact or lead

We have added a new dialog and action to record a purpose against contacts and leads in order to specifically define their original and on going relationship. This creates a new entry in the privacy log. The removal date against the contact/lead is automatically updated from the removal date of the privacy log entry (if later than the existing date). Note - this is an Admin user function for users who have access to the Privacy menu.

Removal date mode can be specified against a purpose

Users can now select a Removal Date Mode for a purpose.
The options are "Created date" and "Now" and will affect when the removal date in the privacy log is set based on the selected option. When Recording a purpose against a contact or lead the Removal Date Mode is taken into account when setting the removal date.

Privacy rules and purposes can be set for specific types of event for event attendees

Users can now select an event type when the interaction type is event attendee. Changing an anonymous attendee to a contact or changing contacts now inserts to privacy log for new contact if a rule matches.

Opt-In Enhancements

Opt-in status visibility against a lead

Users can now see the "opted in" status of a lead from the top level lead management list. This field is automatically present in the top level leads list and can be filtered. It is not present on screens.

Date of when opt-in occurred visible against contacts and leads

Users can now see the date a lead or contact opted in against the list. In the top level lead and contact list a "Connect Opt In Date" field is now present that can be filtered. This field is automatically present on the lead list and can be list-designed onto the contact list. The date is set for all newly synced opt-in data from Connect and is set to the current date and time at the time of syncing.

Include an option to exclude non opt-in recipients at a Campaign stage level

Against a campaign stage a new field has been added to "Only include opt-in recipients". Note: the field will need to be screen designed onto page)
The default option (including when the field is not on screen) is No. When set to Yes only recipients that have opt-ed in through GV connect will be included in the stage as recipients.

 

Unsubscribing a contact removes the opt-in flag

When a contact un-subscribes their opt-in status is now also revoked.

After completing a data audit and identified your sensitive and personal data, lawful basis for processing and purpose for holding contact data, you will want to map these processes and build privacy rules in Gold-Vision.
We have released functionality to allow you to:
• Identify and set your personal or sensitive data fields
• Define your data purpose – using lawful basis for processing and retention duration
• Configure privacy rules
• Monitor and manage – Subject access requests and erasure requests
Additional functionality will be available in future releases.

Security has been added to Events and Campaigns

Intro

Standard Gold Vision security functionality has been extended to Events and Campaigns this will;
1.Provide Gold-Vision administrators with the capability to restrict user access to Events (and all related sub Items) and Campaigns (and all related sub items) via Owner Security functionality.
2.Provide users with a consistent selection of options for securing the item via the standard security drop down (i.e. via the Public, Private and Team security options)
3.For items referenced against an Event or Campaign, continue to ensure they are correctly managed by Account Security (for example, Accounts/Contacts attending an event or Opportunities linked to a Campaign)

Adding a new field

  1. In the Admin Console, open the screen designer for the object in question (eg - Booking/Campaign)
  2. Add the security drop option field
  3. You will now be able to restrict access to screens and lists

Please note

The security dropdown is only available against the top-level items but applies to all child items, so you can only add the drop-down to the Seminar, Marketing Campaign and Marketing Source items
Security is only applied to the top-level lists, not the sub-lists within items therefore in the top level list the item will not appear however with in a sub list the item will appear but once it is click access will be denied

Additional User Defined Fields

Additional user defined fields are a feature of Gold-Vision 7.1. This will provide significant flexibility for users who need more than the current allowable fields and means you can develop your Gold-Vision to suit your team requirements.

There is no limit on the number of additional fields that may be added to an object, although please note that large numbers of fields may adversely affect Gold-Vision Performance.

Adding a new field

  1. In the Admin Console, open the screen designer for the object in question (eg - Account, Contact)
  2. With no field selected, the following should be visible in the middle pane

  3. Select the type of field you wish to create and click the 'Create Field' button
  4. The screen designer will reload
  5. The field will be visible at the bottom of the 'Available Fields' list
  6. Save your changes. Please contact your Gold-Vision Administrator if you do not have access to the Admin Console.

Data Types

Fields of the following data types are available to be added:

  • Text - Limited to 255 characters
  • Numeric
  • Date - Including time portion
  • Bit - True/False
  • Drop down - Unique identifier

Currently, the following objects can have additional fields of any type (above) added to them:

  • Account
  • Activity
  • Contact
  • Project
  • Opportunity
  • Appointment
  • Marketing Campaign

Price Lists

Price Lists are now available to view from Gold-Vision and don't require GV Admin access.

  • Price Lists can be accessed via the View > Products > Price Lists menu.
  • Users are only required to have access to Products to access the Price Lists.
  • Clicking on a Price List will display the Price List Prices for the particular Price List.
  • Users can run reports from the Price Lists Prices list view.

 

Contact Preferences Security

Users are now able to set a security level on the Contact Preferences (CONTACT_PREFERRENCE_GROUP) field within a Contact in the Screen Designer.

Product Description Added to Product List and Product Sales View

You can include the 'Description' field within Product Sales reports and the Product Description field is now available to use within Product List and Product Sales

 

Account Records Are Linked Back to the Lead Record it was Promoted From

If an Account has been promoted from a Lead record, the user will have the ability to view the Lead record and Lead List it was promoted from, against the Account record. 'Lead' and 'Lead List' are now available as clickable fields within the Accounts List view and Accounts Screen Design. Clicking on either the 'Lead' or 'Lead List' field will open a new window containing either the original Lead record used to promote the Account or it will contain the Lead List that the Account was promoted from.

Custom Sender Address Can Be Used For Email Alerts

When users create new Email Alerts, they are able to use a custom 'Sender Address' that the alert will be sent from. There is also now a 'Test' button which allows the user to test that the alert can be sent as the specified 'Sender Address'.

Email Template Documents to Record Contact

It is now possible to email template documents to the record contact by an option on the template document output. This saves users having to copy email addresses from the record manually.

Maintenance Features

Back-End Campaign Processing

All campaign processed for 'new' campaigns has been moved to the back end, specifically to the data transfer service. This change has little impact to the front end and is intended to improve the stability and support (it does not improve performance directly).

When performing a refresh in the front end the user will see a typical "refreshing" message but will also be alerted to the fact they can close the window while the work is being carried out. Furthermore, if a user opens a source or stage that is currently being refreshed in the back end, the "refreshing" message will return to the display and the user will not be able to key another refresh until the current process has finished.

DTS Automatic Start

The DTS (data transfer service, which controls Connect transfer and touch point imports) will now automatically start when an attempt is made to refresh a source or stage in the user interface.

Campaign Source Refresh Performance Improvements

Some performance improvements have been made to refreshing campaign sources / stages. Please note that stages containing many sources will still perform refreshes of the sources sequentially and hence users will experience a slower refresh time than for fewer numbers of sources.

Follow-up stages rules for "Daily" and "Monthly" now have the option to specify weekdays / weekends only for daily and for the first X-day (Monday, Tuesday etc) of the month for monthly.

Connect Integration

Additional Fields to Connect Up and Down Sync

Most account / contact fields are uploaded to Connect for mailshot design.  The date of birth field will be added to the Contact Update fields and returned to Gold-Vision.

Seminar / Event Management

Owner now available at Booking level

An "Owner" field has been added at Seminar Booking level.  This field can be screen-designed onto the page as normal and will be defaulted to the Seminar owner when looking for bookings in a list.

Mail Tracking

Images Displayed In-line in Emails

Display inline images in e-mails. Set in the Admin Console, User Interface, General Settings. . Images in emails are now shown inline by default. This is the case when viewing an email in a pop-out window, or when viewed in the new activity items screen:

YTD and MTD List Filters

Two new date filters

YTD – 10 years filtered from January 1st to “today” every year for the last 10 years.
MTD – Last year and this year to date filtered from start of the month to “today”.

Marketing Campaigns

New Campaigns Copy the Current Item Summary

When creating a campaign from a session or seminar copy the summary to the new campaign dialog.

Merging Contacts Supports Bookings

When merging contacts in admin console there is now an an option to merge bookings.

Campaign Stage - Recipients - Additional Contact & Account level fields

Additional fields have been added to the Campaign > Stage > Recipients list - you can also screen design the list in the admin console now.

Miscellaneous

Run custom SQL script after merge

To support integrations and extension customisations, at the end of the merge process for Accounts and Opportunities (preferably all objects) run an appropriately named SQL stored procedure if it exists.

Multi-select fields to add/remove in list designer.

Users can select multiple fields to add / remove in the list design screen.

Re-Assign Contact and Move Event Bookings When re-assigning a Contact with a booking you will be asked if you want to move the booking.

Ability to Filter Clicks by Contact Manager The "Contact Manager" field has been added to the Connect clicks main list.

Seminar / Event Management

Time zone against an Event It is now possible to specify a time zone against an event. The timezone can be specified via a simple drop down that can be added via the screen design tool. A new column has been added to the Seminar list to show the "local" time for the current user.

Dashboards

Dashboard Charts - Explicit Date Series - It is now possible to use an explicit date as a series for dashboard charts, allowing for more intuitive analysis of data over a short period of time. The new option appears in the Series Axis section when a date field is selected.





The data is then sorted by explicit date, rather than by the number of the day/week/month/etc as is the case with other date series options

Dashboarding - Auto-Filled Date Series - When using a date as a series in a dashboard chart, time periods (days/weeks/months/etc) without any data are now shown.

Lists

Accounts Product Sales List Design

It is now possible to list-design the Account product-sales list.

Activity Email/Notes/Etc view
Activities now have a new overview list on the Details screen to show combined notes, emails, documents, etc. This replaces the old 'Actions' list:

Items are shown in a scrollable list. Notes and emails can be expanded to show their content by clicking on their bars. Expandable items are indicated by a right-pointing arrow.
When open, the black arrow points downwards. Expanded items can be closed by clicking their bars again, or by clicking the 'Close' link.
Clicking an item's underlined summary will open it in a pop-out window, similar to how the old list worked.

Seminar / Event Management

Closed Won/Lost Fields Value Against an Event

It is now possible to report on the value won, lost, and confirmed against a Seminar/Event against both an item and a list.

Won Value - Is the total value of all "Closed - Won" bookings (regardless of confirmed state) Lost Value - Is the total value of all "Closed - Lost" bookings (regardless of confirmed state) Confirmed Value - Is the total value of all "Confirmed" bookings

Alerting

Ability to create and select extension email templates for alerting


Alert templates can now be set and used for Lead Management.


Lead Management

Make Lead Callback Button Enabled For Non-Owned Leads

A setting has been added that allows for the Lead Management "Call-Back" functionality to be made publicly available. When set to "public" other Lead Management users can set callbacks for Leads owned by other users. When a callback is set it still appears on the owners To-Do list.

Price Lists

Price List Open/Close State and Start/End Dates

Price lists now have an active Open/Closed state, which can be toggled to show or hide them from users as desired.

Price lists also have a selectable start and end date, which can be used to show or hide price lists during a specific date range.

Lists

Improved performance of Accounts, Contacts, and Activities lists.

The performance of the Accounts, Contacts, and Activities lists have been improved. If this is positive in deployment it can be extended to other lists.

Dashboards

Targets by Product Group / Product

It is now possible to set targets for product groups. These targets work in a similar way to user sales targets but are visible under the Product Sales main list view.

Product Group Targets on Dashboards

The product group targets are available to be used on dashboards under the "Product Sales" top level list.

Click View > Products > Product Sales from the menu

Click the "Report" tab

Click "Create New Target Chart"

Select a period and target(s) and click "Ok"

Lead Management

Prompt to Remove Owner when Discarding a Lead

When discarding a Lead the user is asked whether they would like to be removed as the owner. ( Previously the owner was always removed.)

Lead List Type Drop-Down Field
A Type field has been added to Lead Management List Control items. This will allow for categorisation of Lead Management lists and can be configured in the same way as other item type fields in the admin console.

Calendar & Appointments

Calendar Print View Obeys Highlight Filtering

When printing a calendar view that has been filtered by the selectable highlight options, those options will now correctly carry through to the print output.

Lists

Account key sub-list design in Admin Console

It is now possible to design the Account sub-lists in the admin console.  The following sub-lists are covered: Activities, Appointments, Contacts, Opportunities, Profiles, Projects, Quotes. For example you may want to change the column headings or add a field to the list design when viewing the Contacts in an Account record.

Integrations

Ability to Add a new Integration Link

It is now possible to create a new integration link between two systems manually through the Admin Console under the 'Integrations' menu.

Ability to edit Integration Link settings

It is now possible to edit an in existing integration link in order to change the item at either the Gold-Vision or the Third Party end.  It is also possible to change the relationship type (Primary / Secondary).

Extensibility

LabelDefs functionality for extension items (LabelDefExt.xml)

It is now possible to manually update a label defs dictionary for extension files.

When uploading a document a folder is now automatically created against the object if required.


Add appointment debugger to GVThirdPartyData service

The appointment scanner now has a new debug user interface to assist with finding issues and pulling data out from the third party appointment service.

How to Upgrade to the Latest Version

Go to the Administration Console (please note this is a Gold-Vision Administrator function)

From the menu select Settings > LiveUpdate

Click the Check for Updates link

Follow the on-screen instructions to Apply all updates

Follow the on-screen instructions to apply the update

How to Upgrade from Gold-Vision 6 to 7

Gold-Vision 7 is available and can be applied via Live Update in the Administration Console. Please see minimum requirements below. If you are unsure please check with your Gold-Vision Administrator.

Minimum Requirements: Gold-Vision Version 7 requires SQL 2005 and above. Gold-Vision Version 7 requires Windows Server 2008 and above.

Upgrading from Gold-Vision 6.6 and Above

If you are running Gold-Vision 6.6 or above then you can upgrade to version 7 through the Live Update process in the Admin Console.

Open the Gold-Vision Admin Console (Tools > Administration)

Click Live Update from the menu then Check for Updates

Click on the Check for Updates link

A list of available updates will appear

Click the Apply this Update link next to the first update

Follow the on-screen instructions to apply the update

Click Install Update

Repeat this process until there are no more visible updates to apply

Upgrading from Gold-Vision 6.5 and Below

If you are running Gold-Vision version 6.5 or below please contact us to arrange your upgrade to version 6.6, which includes the unicode database changes. After this you will be able to upgrade to version 7 as above.

What version am I running?

To find out which version of Gold-Vision you are currently running click 'Help' then 'About' from the main menu.

Please note that Gold-Vision Version 7 will require SQL server versions from SQL 2005 upwards and you will need to be running Windows Server 2008 and above.

Gold-Vision can be used on devices running the following operating systems:
Windows 8.1, Windows 8, Windows 7
Apple Mac OSX 10.6 (Snow Leopard) and above.
For Chrome, Firefox and Safari, we recommend the latest updated version.
For Internet Explorer, we recommend IE10 and IE11.
